VIAA NEWS FOR THE 2009 TRACK AND FIELD SEASON

LEVEL 2 OFFICIALS COURSE

This is a reminder for your club members, parents and athletes that the VIAA and Nanaimo Track and Field Club are hosting our yearly Level 2 Officials Clinic on March 22nd in Nanaimo. For more information go to the Victoria Track and Field Club website and check out the VIAA page.  http://www.victrack.ca/viaa-news to locate and download the registration form which contains more information about the course. The course is offered at no charge to members of our VIAA clubs.

QUICK REFERENCE CARDS

The first of the Officiating Quick Reference Cards are now posted on the same website: http://www.victrack.ca/viaa-news  along with information about them. More cards will be posted as they are completed and edited. An explanation about the cards can be found on the site as well.

VIAA OFFICIALS SHIRT PROGRAM

We are again offering golf shirts to our volunteers when they complete their Level 1 assignments and turn in their officials’ cards. This was a huge success last year and we need to restock our shirts. So if your club has some money to spare to assist our officials, please send a cheque to Diana Hollefreund, 5183 Rutli Meadows Place, Victoria, BC, V8Y 1X7. The usual donation is $100.00 and the cheques need to be made out to VIAA.

Thanks to Campbell River Comets, Cowichan Valley Athletics and Victoria Track and Field Club for their 2009 donations to this program.

VIAA NEWSLETTERS

The first of the 2009 newsletters is now posted on the Victrack VIAA page and you may notice that there are a lot of similar items from the 2008 version. Information has been updated for 2009 as the newsletters are intended for new parents and athletes to use as a handy reference source for meet information and club contacts.

COACHING CLINICS

We have missed the opportunity to have any coaching clinics arranged by the VIAA before the start of the outdoor season so we are planning on a Level 2 [Club Coach] clinic for September 19/20 weekend in Nanaimo. If you are interested in participating, please contact Al Johnston in Nanaimo [allen_955@yahoo.ca].

CROSS COUNTRY UPDATE

The future of our Cross Country Series looks bleaker than ever with decreasing numbers, snowy and cold weather conditions and the economy! Nanaimo has cancelled its event for 2009 but the Arthur Taylor Cross Country Race hosted by Victrack on March 29th will go ahead as planned. We would like to wind up the series with a bang and not a whimper so send your athletes for what could be the final VIAA series race. Please let VTFC know if your club will participate by sending athletes to this event.  [trackvictoria@shaw.ca]

The VIAA statisticians will need to inform the participating clubs if there will changes to the scoring system for the 2009 Cross Country Series with the loss of the Nanaimo race.

TRACK AND FIELD MEET OFFICIALS

When you are completing the sanctioning of your meet, you will be asked to include the names of officials who will be attending. The following group of 5 officials are planning to be at every VIAA meet this year and you may use their names on your application form. Other officials from the VIAA program will be at the meets but names will vary at each meet.

§         David Hopkins – Track Referee

§         Lin Hopkins – Camera [Lin will have another camera operator at each meet but that person will rotate from a group of 3 officials.]

§         Tom Dingle – Field Referee

§         Florence Dingle – Recorder

§         Diana Hollefreund – Head Backup Timer or Secretariat [Secretariat is used if Diana is working in your results’ area.]

PHOTOELECTRONIC TIMING

The cameras and camera team have been booked for all of the VIAA meets with the exception of the Pentathlon and Throws Pentathlon which will have hand-timed track events.  The charges will be the same as last year: $150.00 per day for a club meet and $200.00 per day for a BC Championship Meet. Billing for the camera charges will be emailed directly to the club contacts later in the season. Each club must book a hotel room for the camera operator for the Saturday night.

The camera team will send 2 operators to each meet if possible. Lin Hopkins will be at all of the meets with a rotating crew of David Weicker, Allain McCallum and Anne Lansdell providing assistance.

HY-TEK ATHLETE REGISTRATION

It is time again to send your athlete list to Diana Hollefreund to input into the Hy-Tek program for the various island meets. The information is required so that I can assign a number to each of your athletes which will be used on their race stickers. Last year was a “steep learning curve” as the saying goes but I have revamped the program and it will work quickly and efficiently if you all do your part.

So here is what I need:

§         Last name of athlete

§         First name of athlete

§         Male or female [needed for those names which could be either]

§         Club Name

§         Year of birth

§         BC Athletics number

I will assign a number for each athlete you register. If an athlete is on your original list from 2008, and they are on the first list you submit for 2009, then they will have the same number. Athletes who register later will have their numbers reassigned as I only have a range of numbers for each club. The ranges for most clubs will remain the same but the smaller clubs will be reassigned ranges so that they also have 3 digit numbers.

Please send in your lists as soon as possible so that I can work on the numbers and get them back to you. Please list everyone who may attend any of the island meets: this includes masters athletes as well as your youth and older athletes who may compete at a meet later in the season.

AND DON’T FORGET TO PUT THOSE HY-TEK NUMBERS ON YOUR ATHLETES’ EVENT STICKERS OR THE WHOLE PROGRAM COLLAPSES!
